Look at using the ‘Focused InBox’ in Outlook, This feature helps you to.
Enhance the essential – promoting information that is important to you, rather than downplaying information that is not important. It also allows you to quickly identify the messages that are most essential to you
Encourage Email Overview approach – moving emails that are not your focus, so you can view at a later time of the working week. This helps particularly if you are addicted to dealing with every email as soon as possible.
Try this exercise to help get rapid value from the Focused In-Box
1 – For 1-2 weeks (it may not take longer than this) manually determine what emails you want to put in your ‘Other’ Inbox – for generic emails use the ‘Always move to Focused In-Box’ option. You can do this as they arrive or at the end of the day.
2 – Set aside some time at the end of the week to review the ‘Other’ In-box. If you feel more comfortable doing this daily, then this may help build your confidence until the algorithm better understands your habits and preferences.
After 2 weeks you may notice the shift as more intelligence decisions are made by the algorithm behind the Focused In-Box about what you wish to see.
Ideally, after the period you’ll notice the feature will ‘enhance the essential’ – promoting information that is important, allowing you to quickly identify the messages that are essential to you.
No sorting algorithm is perfect, but the more you use the Focused In-Box feature the quicker it will adapt to ways of working that will help you.
