
Have you ever heard of “AI Grounding”?
If not, you’re not alone. It sounds like something you’d do to a teenager who’s broken curfew, but it’s actually one of the most important developments in making AI accurate, trustworthy and genuinely useful for businesses.
So what is it?
AI Grounding, Explained Simply
AI grounding means making sure an AI’s answers come from real, trustworthy data, not guesses. Think of it like this:
- A non‑grounded AI is like someone confidently answering questions from memory… even when their memory is a bit fuzzy.
- A grounded AI is like someone checking your business’s actual documents, databases, policies and reports before answering.
And the difference is huge. Studies show that grounding can improve accuracy by 30–50% in business settings. On the flip side, when AI isn’t grounded, it gets things wrong 30–45% of the time, and over 60% of mistakes come from missing or outdated information.
Why Grounding Matters
Grounded AI:
- Gives answers backed by evidence
- Reduces made‑up facts (“hallucinations”)
- Provides more context‑aware responses
- Works better in regulated environments where accuracy matters (finance, legal, safety etc.)
Some people use complex phrases like RAG, semantic search, or vector indexing to explain how grounding works — but you don’t need any of that to understand the idea.
Here’s the simple version: Grounding = the AI looks things up in your trusted business data before answering. No magic. Just better information going in, and therefore better answers coming out.
But Grounding Is Only as Good as Your Business Data
The part many organisations overlook: AI grounding only works when your business data is clean, organised and connected.
If your data is scattered across systems, inconsistent, or poorly defined, the AI won’t know which information to trust. That’s why the real secret to powerful AI isn’t AI at all — it’s our data foundations.
This is where three concepts come in, and I’ll explain them simply:
- Data products: Think of these as neatly packaged “ready‑to‑use” data sets our business creates for others to use.
- Knowledge graphs: These map how our business information fits together — like a big, smart business map that helps AI understand context and relationships (e.g., which customers link to which products).
- Semantic layers: These standardise language and meaning across our business — so “customer”, “client” and “account holder” don’t get mixed up. They’re increasingly essential for accurate and trustworthy AI.
When these elements are in place, AI grounding goes from “helpful” to “transformative.” Because then the AI can understand our business data, trust our business data, and explain answers based on our business data.
A moment for personal reflection…
As we think about grounding and what it really means for how we use AI, it’s worth pausing to reflect:
- If an AI pulled answers from our business data today, how confident would I feel sharing those answers with others?
- Do our systems genuinely reflect one consistent version of the truth—or do we each work from slightly different realities?
- What data could we package, connect, clean or elevate to give our AI a stronger, more reliable foundation?
- And what new possibilities might open up if our AI always had access to the most accurate, trustworthy, up‑to‑date version of our business?
Grounding isn’t just the next evolution of AI—it’s the bridge between AI’s potential and our organisation’s reality.
So what can we do to help?
Here are three simple, practical ways each of us can support better data foundations — and therefore better AI grounding:
1. Speak up when something doesn’t look right
If data feels out of date, inconsistent, duplicated, or just “off,” call it out.
Small questions surface big improvements, and quality only gets better when people notice and care.
2. Help connect information across teams
Share what you know. Point others to reliable sources. Highlight where datasets relate.
Every time we link information rather than keeping it in a silo, we make it easier for AI (and humans!) to understand the full picture.
3. Support clarity and good data habits
Be clear about what terms mean, how information should be used, and where it belongs.
When we promote consistent language and good data hygiene, we strengthen the foundations that grounded AI relies on.

AI grounding isn’t just a technical upgrade.
It’s a cultural shift toward clarity, connection, and confidence in how we use our information.
And every small step we take to improve our data — every question we ask, every definition we clarify, every gap we close — becomes part of a future where AI doesn’t just guess…
It understands. It explains. And it helps us make better decisions, together.

AI can be a mentor or a crutch. For me, the difference is whether I’m using it to challenge or develop my thinking, or simply to confirm it. AI will happily tell me my idea is great unless I ask it not to. So, I’ve started asking it to attack my ideas. It’s quite effective (sometimes too effective) and I then use that input to further develop it. That human “wisdom” element has to lead, with AI used as a stress test and a builder.
There are human skills we need to protect. Practice deliberately, deep thought, critical thinking and the ability to challenge. In a high demand and time poor world, the risk is using AI to give the answer and just going with it, rather than augment ‘wisdom’. This will show up in several ways, including uneven skill development. Generational differences will also matter for those who grew up before and after AI was embedded at scale in work.
Cognitive decline vs cognitive overload. I heard two competing ideas. One is that we outsource thinking and see cognitive decline. The other is that by automating the lighter tasks, we remove natural recovery time and end up with sustained high‑cognitive work and overload. Perhaps both are true, and we end up with polarization. If so, that points to two distinct responses: building habits that strengthen reflection and judgement vs protecting focus and recovery so people can sustain higher‑order thinking.
